CONFERENCE PLANNING COMMITTEE

Responsibilities:

Mission:
Chaired by the Second Vice President, this committee works with WHQ
staff to develop, plan, [with the IAAM Meetings Manager] and produce the
IAAM Annual Conference and Trade Show. As this event is primarily
Professional Development, program participants shall include, but not be
limited to, the Professional Development Committee (chair) and Special
Facility Committee (chairs)..

Roles and Responsibilities:
Structure. The following positions shall be established /
filled to work with the President/CEO and World Headquarters (WHQ)
staff in providing IAAM member-driven support: (1) Chair – 2nd Vice
President - responsible for overall coordination of committee
strategy and agenda(s) for Annual Conference and Trade Show, (2)
Vice Chair- Local Host Committee – responsible to coordinate local
host activity and support, (3) PDC Chair – Program Development, (4)
Allied Rep – F & B purveyor of host site, (5) Venue Reps – 5
facility specific, (6) any joint venture or combined meeting
partner, e.g., NAC, (7) and At-Large representatives to include, but
not be limited to, local host chair and F & B representative of the
next Annual Conference site; future host chair (2 years out); and
At-large meeting planner. To facilitate empowerment of committee
development, chair may appoint other sub-committees and vice chairs
where applicable. [see vice-chair roles for support detail].
Ex-officio members consist of IAAM President, Executive Director,
Education Director, Board Services Director, Meeting Manager, Trade
Show Manager, Director of Donor Relations.
1) Develop a strong conference program that fulfills the Vision and
Mission of the Association utilizing committee and sub-committee
roles to address all meeting components to include, but not be
limited to, host, sponsorship, programming, budget, and social
events.
2) Provide preliminary program [agenda] along with budget
projections to the Board of Directors (BOD) at the Mid-Winter
meeting for review and approval and provide final program to WHQ
staff on or before April 1, 2005.
3) Seek input in the development of the program from all IAAM
committee liaisons and program areas, but specifically coordinate
detailed planning with the Professional Development Committee,
Diversification Committee, Allied Committee, IAAM Foundation and
local Host Committee.
4) Provide a Past Presidents’ Forum that develops understanding and
appreciation for the senior office track.
5) Assist the University Committee with the Universities Venue
Management Conference (UVMC) program within the IAAM Annual
Conference and Trade Show.
6) Enhance event program presentation(s) to include, global issues,
new member activities, sponsor acknowledgments, exhibitor
appreciation, honor recognition, and transportation needs that leave
a lasting positive experience.
7) Develop promotion campaign strategy [with Marketing Manager] that
includes, but is not limited to, branding, collateral design, target
market penetration, advertising medium and schedules, partnerships.
The presidential theme is incorporated into the format, program and
content of the Annual Conference.
